Correction and Supersession Procedure
1Purpose
This procedure controls changes to issued controlled documents. It applies whether the change corrects a material error, replaces an obsolete instruction, or records that a holding is no longer available.
2Required disposition
| Condition | Disposition | Register action |
|---|---|---|
| Typographic error; meaning unchanged | Correct at next revision | Increment revision |
| Technical meaning changed | Supersede immediately | Retain prior title and effective date |
| Identifier issued without deposit | Do not reuse identifier | Record absent holding |
| Release withdrawn | Remove released copy | Retain existence and withdrawal basis |
3Procedure
The originating office submits replacement text, a statement of affected meaning, and the identifiers of dependent records. Records verifies the revision block, updates the register, and performs a repository search for the superseded statement. A correction is incomplete until dependent released copies have either been revised or listed as carrying a known discrepancy.
Records does not silently repair quotations from earlier revisions. The quoting document is corrected and its own revision is incremented.
4Limitations
This procedure controls documents, not every copy made from them. Printed copies become uncontrolled when removed from an identified distribution point. Search results and cached descriptions may continue to reproduce superseded language.
